Logistics: Orders off a PDF and into dispatch
Order details are read from the PDF, checked by a person, and added to the live dispatch table.
What goes wrong
Every order arrives as a PDF, and every PDF has to be opened, read and typed back into the dispatch table before anyone can act on it.
That means more handling, more places for a detail to go missing, and a pile of finished records to sort out later.
What needs to change
An order should reach the dispatch table complete and checked, without waiting for someone to retype it. The live table should show what is still to go, and finished work should move out of the way in one step.
The system
An import built into the dispatch spreadsheet. Choose the order PDF and its details are extracted and shown for checking before anything is committed. A confirmed order becomes rows in the live dispatch table, and once the work is dispatched, one action moves the finished rows into an organised, dated archive.
How it works
Starts when an order arrives as a PDF. Ends with a checked row in the dispatch table, and later a dated archive entry.
- An order arrives as a PDF. Orders still come in the way they always have.
- Import it from the spreadsheet. Pick the PDF once and the order details are extracted.
- Check the extracted order. It is shown for review before it is added.
- The rows join the dispatch table. With job number, due date, client, items and quantities, ready to action.
- Dispatched work is archived. One action moves completed rows into an organised archive, with the date.
