Operations: Job sheets scanned in, one live view out
Paper and PDF job sheets are read into one live register, so what's late, stuck or waiting on someone is always in view.
What goes wrong
Job sheets arrive on paper or as scanned PDFs. Someone reads each one and types it into a spreadsheet, and the spreadsheet is only as current as the last person who updated it.
So “what's late?” and “what's waiting on someone?” get answered by walking the floor and asking.
What needs to change
Late, stuck and waiting work should be visible without anyone walking the floor. A job sheet should reach the register once, as it arrives, and anything unclear should be flagged, not guessed at.
The system
A job sheet scanner. Drop in a scan or a PDF and it reads the key fields, client, job number, due date and PO, into one live register. Anything it can't read clearly is flagged for a person, and the register highlights jobs that are late, stuck or waiting on someone.
How it works
Starts when a job sheet is scanned or dropped in. Ends with a live register that shows what is late, stuck or waiting.
- Scan or drop in the job sheet. A phone scan, a scanner or a PDF all work.
- The key fields are read. Client, job number, due date and PO go into the register.
- Anything unclear is flagged. A person confirms it. Nothing unclear is guessed at.
- The register stays current. Status updates as work moves, and late, stuck or waiting jobs are highlighted.
