Trades: Mileage logged as the trip happens
Start a trip from your phone and the kilometres are logged against the job, so mileage and travel time are on record without a logbook.
What goes wrong
Between jobs, travel is the cost that is hardest to see. Kilometres get guessed at the end of the week, or written in a logbook that someone has to total up.
So travel is easy to leave off an invoice, mileage claims are rough, and the office doesn't know a job has started until someone rings.
What needs to change
Travel should be on record as it happens: against the job, per vehicle, ready for the invoice or the claim, and visible to the office without a phone call.
The system
A mileage calculator that runs from the worker's phone. Start a trip from the job and the distance is logged as the trip happens. Arrive and the trip is saved against that job. The office sees who is on the way, who has arrived and who has finished, and gets mileage totals per job, vehicle and week.
How it works
Starts when a worker starts a trip from a job. Ends with a saved trip against the job, with mileage totals for the office.
- Open the job and start the trip. One tap from the job. Location is only used while a trip is running.
- Distance is logged as you drive. Kilometres and travel time are recorded against the job.
- Arrive and tap done. The job's status updates for the office, with no phone call.
- Totals are worked out. Mileage per job, vehicle and week, ready for claims, payroll or the invoice.
